Where things stood

Red Core FM is built on staying ahead of dates and deadlines across a growing client book — every site has its own PPM schedule, PAT testing cycle, legionella and pest control checks, waste management requirements. Compliance scheduling ran on institutional memory more than systems: knowing which site needed which check, and when, depended on the same few people staying on top of it.

Reactive maintenance requests came in with no automatic triage, so urgent jobs and routine ones landed in the same queue and got sorted by hand. New business outreach was manual, one email at a time, with no consistent way to follow up on a quote that had gone quiet. None of it was broken exactly — it just didn’t scale past the people running it.

The result

The aim was to let a compliance-driven business run compliance-driven processes on a system, freeing the team to spend their time on-site rather than in a spreadsheet. Compliance dates are now tracked automatically rather than held in someone’s head, reactive requests get triaged and assigned faster than the old shared inbox allowed, and outreach follow-up happens on a schedule instead of whenever someone remembers a quote went quiet.

We haven’t published a headline ROI figure here on purpose — Red Core FM is still in the stage of the engagement where those numbers are being measured properly rather than estimated. Once there’s a real before-and-after to point to (contracts closed through automated outreach, coordinator hours reclaimed, compliance completion rate across the portfolio), it belongs on this page. Until then we’d rather leave the space blank than fill it with a number nobody measured.
